Job Title: Assistant to the Management Board in a Humanitarian Organization

About the Role:

We are seeking a highly skilled and experienced Assistant to support the Management Board in a humanitarian organization. The successful candidate will be responsible for providing administrative support to the Management Board, ensuring the smooth operation of the delegation.

Key Responsibilities:

  • Screens, prioritizes, and dispatches written requests and calls received from internal and external interlocutors;
  • Manages and updates the Delegation contacts list;
  • Organizes meetings for the Management Board with internal and external interlocutors;
  • Takes minutes of meetings and tracks deadlines with stakeholders;
  • Writes formal and informal correspondence in Polish and English for the Management Board;
  • Shares and files documents for the Management Board;
  • Ensures all electronic documents are shared with concerned staff members;
  • Organizes and manages collaborative information management tools and databases;
  • Maintains the delegation's intranet page;
  • Briefs new staff on information management and organizes regular training sessions;

Requirements:

  • Minimum 3 years of experience as an Assistant in a similar field;
  • University degree in Information Management, Business Administration, Communication Studies, or Public Administration;
  • English C1 level and full professional fluency in Polish;
  • Advanced computer skills, including Microsoft Office suite, SharePoint, and IBM Lotus Notes;

  • Work from 9 a.m. to 5 p.m. (Mon-Fri);
  • 13 annual salary;
