Job Description:

This role involves providing comprehensive administrative support to the CEO of TN Poland.

Key Responsibilities:
  • Offer high-level administrative assistance to the CEO, encompassing tasks such as preparing reports, presentations, and correspondence.
  • Liaise with internal and external stakeholders on behalf of the CEO, ensuring seamless communication.
  • Manage and prioritize incoming communications, responding on behalf of the CEO as necessary.
  • Assist with personal tasks for the CEO, maintaining a balance between business and private commitments.

Line Management:

  • Line management responsibility for a small administration team.

HR Administration:

  • Oversee HR administration activities related to UK and Belgium employees throughout their employee lifecycle.
  • Ensure a positive experience for new starters, including early career reviews and probationary discussions.
  • Coordinate event planning, travel management, and PMO activities.
  • Provide low-level guidance and support to team leads regarding employee relations matters.
  • Support payroll submission data collection.
  • Offer guidance and support to employees with queries about company credit cards, expenses, time entry systems, and the HRIS.

Office Management:

  • Collate data to satisfy audit requirements, both internal and external.
  • Serve as the primary contact for office management activities, including maintenance, rentals, and compliance.
  • Administer necessary visa/UK entrance documentation in accordance with government legislation.

Requirements:

  • Minimum two years' experience in business administration or an executive assistant role.
  • Experience working with executive board members.
  • Strong IT skills, with proficiency in managing, preparing, and publishing digital information, documents, spreadsheets, and presentations using Microsoft and Google applications.
  • Able to work collaboratively as part of a team in a deadline-driven environment.
  • Familiarity with office management procedures and practices, including data protection legislation.
  • Hybrid working arrangement – remote-based contract with office working and travel requirements.
