How you will create an impact:
- Manage and maintain schedules (Outlook), including coordinating and scheduling meetings, conference calls with stakeholders from around the world.
- Arrange and coordinate travel, including booking flights, hotels, and transportation.
- Handle expenses, including reconciling expense reports and submitting invoices for payment.
- Assist with the preparation of presentations, reports, and other documents as needed.
- Act as the primary point of contact for internal stakeholders and external clients and vendors, fielding inquiries and directing communication as appropriate.
- Entering data and proposals into the CRM system.
Your profile:
- Excellent communication skills in English on a business level.
- Excellent communication skills in German on a business level.
- Minimum of 5 years' experience as a Personal Assistant, Executive Assistant or Office Administrator in a corporate environment.
- Ability to work independently and handle multiple tasks concurrently in a fast-paced environment.
- Strong proficiency in Microsoft Office, particularly Outlook, Word, and PowerPoint and a general affinity for technology.
- Strong attention to detail and taking notes, also timeline reminders.
- Proactive approach and a strong focus on assistance and problem-solving.
- Hands-on experience with contract set-up processes, including preparation, review, coordination of agreements, as well as billing and invoicing procedures to ensure accuracy and timely processing.
- Excellent communication and interpersonal competences.
- Experience in working with Customer Relationship Management (CRM) systems, including opportunity management, adding and maintaining customer accounts and contacts (familiarity with Microsoft Dynamics 365 CRM is a strong plus).
