We are looking for a highly organized and proactive Personal Assistant / Project Manager who will support our Country Head and collaborate closely with leaders across multiple departments. This role combines elements of Personal Assistance Business Management, and cross-functional collaboration.

Your tasks and responsibilities:

Coordination of UI Poland Office activities

  • Vendors, contract relationship
  • Internal all employee activities (supporting induction, onboarding, all hands meetings, visits)
  • Support in internal communication and branding activities
  • Handle all visitor activities in UI's office or external meetings

Business Management

  • Coordination of internal documentation (presentation, meeting preparations)
  • Collation of presentations, ensuring format adjustment with UI's guidelines
  • Preparation of board meetings/minuting
  • Handling of formal communication / letters
  • Driving in local projects like events, CSR

Assistant

  • Travel assistance to Poland Management Team
  • Meeting scheduling / calendar management
  • Meeting minutes/notes
  • Other activities as required to support smooth running of Poland site

Required skills:

  • Several years' professional experience on similar position
  • Very good in MS Office
  • Detail oriented
  • Very good interpersonal, communication and time management skills
  • Fluent English
  • Good knowledge of German would be an asset
