Receptionist / Office Coordinator
Your responsibilities
- Every day tasks will include:
- Managing reception desk
- Coordinating incoming and outgoing mail and packages for employees
- Managing daily office purchases
- Signing contracts for office services and their continuation (rentals, insurance policies, services, etc.)
- Supervising the team responsible for maintaining order in the office and on the property
- Organising and overseeing repairs and improvements in the office
- Coordinating registration, preparation, and delivery of office documentation to various authorities
- Booking business trips and organizing corporate events in collaboration with the Office Manager and Fun Team
- Managing contracts for additional benefits for employees (Multisport, Life insurance, Medicover, PZU, Daily Fruits, Massages, Friday events, - Christmas Gifts, etc.)
- Monitoring the entry and exit system and creating monthly reports
- Supervision of the office entry-exit system
- Managing fire safety procedures
- Co-managing the company car fleet
- Ordering stamps
- Supervising and maintaining cleanliness of the Reception and Office
- Providing daily support to office employees
Our requirements
- Experience in a similar role
- Very good command of English language in speech and writing
- High sensitivity to cleanliness of the surroundings
- Very pleasant and elegant presence
- Excellent work organization and time management skills
- Ability to work in a team and friendly personality
- Ability to make decisions in a dynamic work environment
- Knowledge of MS Office suite
- Negotiation skills and contract signing ability
- Ability to conduct professional email and phone communication
- Driver's license category B
- Short commuting distance from place of residence to the office

As the first point of contact for clients, intermediaries and all visitors contacting the office, you will be a critical ambassador for
our brand and values, ensuring the highest levels of professionalism and courtesy to ensure a positive, prestige experience for all external parties.
In addition, you will support your colleagues to ensure a seamless service for all meetings, as well as providing general administrative support to the senior team, such as travel bookings, sending documents, all kind of orders and ad hoc secretarial support. Flexibility and a desire to deliver the best service to internal and external stakeholders is key.
