Job Purpose

The Project Document Controller is responsible for the management of Technical Documentation on a Project in accordance with the Project, GBPMS and Client requirements. DC will work within the established document control system and programs to ensure that project documentation is accurate, controlled, transmitted, and archived for optimised tracking and retrieval. The Document Controller may be required to work alone or within a team environment.

Job Description

Ensures the latest and correct information is available to the project and the correct documents are sent and traceability maintained within the EDMS Provide training to project team on the EDMS, and any ongoing support Maintain Project Guides for end users and DC Instructions for their respective project/s Works with Project to create Master Document Register Creates customer records and document numbers as required and prepare documents for transmittal Analyses and controls all technical documentation related to department and project activities within contractual requirements and Company procedures (including confidentiality) Handles and registers all outgoing and incoming transmittals according to and in compliance with document control processes Manages supplier documentation Generation, Preparation and distribution of all project reports Provide Document Expediting support to the personnel, including Manager, PMT, Project Engineers, Discipline Engineers Assists the Project Manager in the close out of the project – including assistance with final handover Maintain awareness of, and compliance with, the GBPMS (Global Business Process Management System) procedures which directly affect the work undertaken Participates in internal audits as requested by the QHSE Manager and/or Project Quality Coordinator Participates in the development, maintenance and improvement of departmental / projects document control work processes Ensure Document Control Assistants receive guidance and training in EDMS Produces and maintains the project specific document control procedure/s (if required)

You are meant for this job if:

At least a Diploma, preferable in Computer Science/IT or Business Information Systems or Records Management or equivalent 2 years hands-on experience on Document Control activities in Oil & Gas project environment Sound knowledge/understanding of standard control processes/work flows Strong experience in Micosoft Office, specifically Excel and Adobe Acrobat Must be reliable, have high attention to detail & be able to multitask Ability to follow systems, procedures and work flow processes Proficient in English Strong interpersonal skills - comfortable interfacing with clients and all levels of company employees
