We are seeking a highly skilled Payroll Operations Specialist to join our team at Ibm Polska Sp. z o.o.

About the Role:

The ideal candidate will have a strong background in payroll operations, with experience in delivering high-quality services while ensuring compliance with procedures and customer requirements.

Key Responsibilities:

  • Deliver Exceptional Payroll Services: Execute all activities related to payroll operations, adhering to existing procedures and customer requirements.
  • Process Payroll Data: Process payroll data in accordance with legal, IBM, and customer requirements related to personal data protection.
  • Timely Payroll Processing: Ensure timely processing of payrolls, including sending inputs to payroll services providers and approving payrolls.
  • Payroll Payments: Ensure timely processing of payroll payments, including requesting uploads, initiating manual payments, and uploading payroll payments into the bank system.
  • Error Handling: Validate payroll inputs, reconcile output files, and properly handle any discovered errors or discrepancies.
  • Compliance Monitoring: Monitor the execution of compliance activities as required.
  • Risk Communication: Communicate any risks to payroll processes or deadlines according to escalation paths.
  • Candidate Interaction: Interact with employees, clients, payroll stakeholders, or third-party providers to process payroll data and ensure correct and timely payment.
  • Continuous Improvement: Support year-end processes and country-specific processes not related to the monthly payroll cycle, as well as initiate and actively support continuous improvement activities using existing change management channels.
  • Project Coordination: Coordinate the execution of payroll cycles or year-end projects for assigned countries.
  • Operational Leadership: Act as Ops Lead for assigned projects related to assigned countries or minor/medium changes in the process.
  • Knowledge Management: Keep knowledge of processes and country-specific information up-to-date by attending recurring courses or training activities and utilizing existing documentation.
  • Team Support: Act as a back-up for team members and/or additional functions assigned by supervisor.
  • Training and Development: Act as a trainer for assigned trainer-delivered, workshadow, or recurring courses.

Requirements and Qualifications:

To be successful in this role, you will need:

  • Payroll Knowledge: Strong background in payroll operations and experience in delivering high-quality services.
  • SAP System Knowledge: SAP system knowledge is an asset.
  • Previous Experience: Previous experience in HR or finance operations (2-3 years on an independent position) – payroll preferred (at least a year).
  • Curiosity and Adaptability: Curiosity and need to understand both details and context.
  • Quick Learning: Quick learner with a desire for continuous improvement.
  • Ownership and Accountability: Sense of ownership of assigned tasks.
  • Communication Skills: Fluent command of English that enables clear and concise communication.
  • Language Skills: Good command of other local language that allows for fluent payroll-related communication.
  • Organizational Skills: Excellent organization and management of own work.
  • Coordination Skills: Ability to coordinate the execution of payroll cycles.
  • Accuracy and Attention to Detail: Accuracy and attention to details.
  • Coping with Pressure: Ability to cope with different situations, different requirements, uncertainty, and pressure of time.
  • Problem-Solving: Attitude to view problems as issues to be solved rather than obstacles.
  • MS Office Skills: Good knowledge and practice in using MS Office.

Salary: The estimated salary for this role is around 45,000 - 55,000 PLN per month, depending on experience.
