Job Summary

The Administrative Assistant performs various administrative and office support tasks for different departments. Duties may include fielding phone calls, receiving visitors, word processing, creating spreadsheets, data entry, and filing. This role requires excellent communication and organizational skills, with the ability to multitask and prioritize work.

Main Responsibilities

  1. Answer and redirect phone calls in a professional manner.
  2. Produce and distribute correspondence, memos, letters, faxes, and forms as required.
  3. Assist in preparing regularly scheduled reports.
  4. Provide information by answering questions and requests from colleagues and management.
  5. Handle multiple projects simultaneously, prioritizing tasks and meeting deadlines.
  6. Carry out administrative duties such as filing, typing, copying, binding, scanning, and other tasks as needed.
  7. Write letters and emails on behalf of other office staff members.
  8. Handle sensitive information in a confidential manner.
  9. Respond to email, telephone, or face-to-face inquiries in a timely and professional manner.
  10. Resolve administrative problems and issues that may arise.
  11. Receive, sort, and distribute mail and packages efficiently.
  12. Greet and assist visitors to the office, providing exceptional customer service.
  13. Communicate effectively with colleagues and management, providing polite and professional responses.
  14. Conduct data entry and maintain accurate records.
  15. Organize, store, and print company documents as needed.
  16. Process sales tickets, complete customs paperwork, and handle shipping and receiving courier packages.
  17. Maintain a filing system for employee, customer, external partner, and facility contact lists.
  18. Handle queries from managers and employees in a professional and timely manner.
