Job Description

Employee Data Management Specialist with German

Overview: As an Employee Data Management Specialist, you will play a crucial role in ensuring the seamless management of employee data within our organization. This includes providing top-notch support to our HR Shared Service Centre users, resolving queries and issues in a timely manner, and actively participating in knowledge transfer sessions.

Responsibilities:
  • Customer Support: Provide first point of contact for customers, answering queries on policy and procedure related to HR BSC transactional and administrative scope through ticketing tools, live chat, and telephony.
  • Enquiry Resolution: Resolve enquiries leveraging knowledge base documents (e.g. FAQs, job aids, policy documents, etc) within agreed service levels as defined in the Service Level Agreement (SLA).
  • Follow-up and Feedback: Actively follow up on outstanding items and obtain feedback on resolution from employees and partners.
  • User Assistance: Help and educate HR Shared Service Centre users to navigate self-help materials & functionality where assistance is required.
  • Escalation and Support: Properly transfer enquiries to the next level of support or relevant subject matter experts.
  • Meeting Participation: Actively participate in meetings with internal stakeholders.
  • Knowledge Base Improvement: Identify gaps in current knowledge base documentation and highlight improvements required to enhance the knowledge base.
  • System Transactions: Execute simple transactions in the system (WD) on behalf of the employee in case required by the process.
  • Documentation Generation: Generate personal documentation based on system information and available templates.
  • Reporting: Provide simple reporting as requested by customers.
  • System Updates: Update required information in the system as raised by employees and the business.
  • Mass Uploads: Perform data/mass upload into the HR tools (WD).
  • Process Documentation: Gather and review process documentation as required by the business.
RequirementsSkills and Qualifications:
  • Organizational Skills: Strong organizational and time-management skills.
  • Interpersonal Skills: Excellent interpersonal skills - verbal and written communication skills with the ability to interact professionally with a diverse group of people.
  • Communication Skills: Excellent verbal and written communication skills with the ability to interact professionally with a diverse group of people including managers, executives, business partners, and subject matter experts from various countries, cultures, and business levels.
  • Problem-solving Skills: Ability to ask relevant questions to understand and clarify issues, attempt resolution, and escalate problems if unable to resolve.
  • Independence and Initiative: Ownership and capability of working independently, taking initiative, and following up on assigned projects.
  • Confidentiality and Responsibility: Ability to act in a confidential and sensitive manner and high sense of commitment and responsibility.
  • Technical Skills: IT savvy and resourceful on leveraging various tools (knowledge management, document management, HR systems) to obtain required information to resolve queries and issues.
  • Experience: Experience as an HR administrative assistant (recommended) and in shared services environment will be considered a plus.
  • Language Proficiency: English and German (min. Intermediate level) - Mandatory.
  • Travel and Training: Availability to travel when possible and if necessary and experience in Knowledge Transfer sessions and documenting processes.
  • Tools and Systems: ServiceNow and Workday experience.
