The position
As an Office Coordinator at Novo Nordisk, you will:
- Coordinate WarsawHub office activities and operations to secure efficiency and compliance with company policies.
- Work closely with the main reception and Polish Affiliate.
- Ensure a good image of WarsawHub office and welcome visitors.
- Manage office supplies inventory and place ord
- ers as necessary.
- Oversee general office maintenance and ensure a clean and organised workspace.
- Serve as the main point of contact for office-related inquiries and requests.
- Organise and schedule meetings and appointments.
- Support with organising company events (team gatherings and other initiatives).
- Coordinating office-lunch organisations for special events / internal meetings held by WarsawHub colleagues
- Support P&O with onboarding new employees.
- Support P&O with ensuring all HR documentation is in place.
- Track local relocation/mobility agency operations, ensuring information exchange and vendor management
- Manage and update company databases and documentation systems.
- Address employees’ and visitors’ queries regarding office management issues.
- Assist in the preparation of regular reports and presentations.
- Ensure all administrative tasks are completed accurately and delivered with high quality and in a timely manner.
Qualifications
We are looking for a candidate who can bring the following to our team:
Need to have:
- Proven experience as an Office Coordinator, Office Administrator, or similar role.
- Excellent organisational and time-management skills.
- Strong communication and interpersonal abilities.
- Proficiency in MS Office (MS Excel and MS Outlook, in particular).
- Attention to detail and problem-solving skills.
- Ability to multitask and prioritize tasks effectively.
- Interest to develop in the HR area.
- Fluent spoken and written English.
Nice to have:
- Experience in a multinational company.
- Knowledge of office management procedures and basic accounting principles.
