Position Overview

Under general supervision, the Workplace Coordinator will process all incoming, outgoing, and mail production. The role will also assist the HR team with employee events, ordering of office supplies, answering phones, and other administrative responsibilities.

Key Responsibilities

  • Process all incoming and outgoing mail in a timely and efficient manner.
  • Handle the distribution of mail, including DHL and Post Office shipping and receiving, and establish/maintain a mail sign-out system for the copy/supply room.
  • Answer the phone in a professional manner and relay messages to all appropriate departments/individuals.
  • Ensure the organization of office operations and procedures.
  • Schedule meetings, conference rooms, meeting space, IT and AV equipment, and meals.
  • Help receive catering deliveries, set up/break down as required.
  • Serve as the point person for all mail, including supplies and equipment.
  • Observe and report safety or security concerns.
  • Monitor all building entry and identification in compliance with established guidelines, including control of visitor passes and logs.
  • Act as a backup for all on-site Workplace needs.
  • Support local site leaders with office-based events or projects as needed.

Requirements

  • Superior customer service skills and orientation.
  • Ability to maintain consistent professionalism under stressful situations.
  • Ability to plan and manage work under time constraints.
  • Ability to multitask and work with minimal supervision.
  • Excellent critical thinking skills and ability to direct responses during emergency situations.
  • Excellent verbal and written communication skills and proven ability to provide direction to staff.
  • Ability to effectively communicate in Polish and English.
  • Proficient in MS Office and possess strong written, verbal, and people skills.
  • Strong organizational skills and collaborative style needed.
  • Knowledge of real estate, telecommunications, furniture, accounting, and building systems.

Education Requirements

High school degree required.
