Job Overview:
The Payroll Coordinator is a key member of the HR Shared Services team, responsible for managing and processing payroll activities for countries within their scope. This role plays a crucial part in ensuring accurate and timely payroll processing, compliance with statutory requirements, and effective communication with stakeholders.
Main Responsibilities:
- Process and validate monthly payroll, including statutory and occupational sickness payments, maternity, paternity, and benefit expenses.
- Collaborate with Social Security Institutions and Tax Offices to ensure compliance with local regulations.
- Maintain disability fund submissions and prepare reports for the Statistical Office.
- Assist in preparing annual declarations, PIT, and insurance confirmations.
- Provide payroll-related support and answer inquiries from employees and management.
- Develop and maintain payroll-related Key Performance Indicators and reporting.
- Support local management and HR colleagues with payroll, pension, and insurance-related administrative tasks.
- Liaise with pension and insurance providers to resolve operational issues.
- Review and process timesheets and work records as required.
- Review and process leave records as required.
- Manage overtime, benefits, and bonus data.
- Review payroll actuals and assist with budget control in assigned countries.
- Support audits related to payroll or payroll systems.
Requirements:
- Bachelor's Degree in Human Resources, Business Administration, Management Science, or a related field.
- Minimum 3 years of experience processing Polish payroll.
- Functional knowledge of key HR competencies and processes, including compensation, performance management, talent acquisition, payroll, benefits, hire-to-retire events, and learning & development.
- Excellent attention to detail, organizational skills, multi-tasking, and time-management skills.
- Excellent communication skills, with intermediate/business-level proficiency in Dutch, Italian, and English.
