The Position


As an Office Coordinator at Novo Nordisk, you will be responsible for ensuring the smooth day-to-day operations of our Warsaw Hub office. This includes coordinating office activities and managing office supplies inventory to maintain efficiency and compliance with company policies.


Key Responsibilities:



  • Coordinate WarsawHub office activities and operations to secure efficiency and compliance with company policies
  • Work closely with the main reception and Polish Affiliate to ensure a good image of WarsawHub office and welcome visitors
  • Manage office supplies inventory and place orders as necessary
  • Oversee general office maintenance and ensure a clean and organized workspace
  • Serve as the main point of contact for office-related inquiries and requests
  • Organize and schedule meetings and appointments
  • Support with organizing company events (team gatherings and other initiatives)
  • Coordinate office-lunch organizations for special events / internal meetings held by WarsawHub colleagues
  • Support P&O with onboarding new employees
  • Support P&O with ensuring all HR documentation is in place
  • Track local relocation/mobility agency operations, ensuring information exchange and vendor management
  • Manage and update company databases and documentation systems
  • Address employees' and visitors' queries regarding office management issues
  • Assist in the preparation of regular reports and presentations
  • Ensure all administrative tasks are completed accurately and delivered with high quality and in a timely manner

Requirements:


We are looking for a candidate who can bring the following to our team:



  • Proven experience as an Office Coordinator, Office Administrator, or similar role
  • Excellent organizational and time-management skills
  • Strong communication and interpersonal abilities
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Attention to detail and problem-solving skills
  • Ability to multitask and prioritize tasks effectively
  • Interest to develop in the HR area
  • Fluent spoken and written English
