About the Role
The Mail & Supplies Specialist plays a vital role in efficiently managing the mail room by overseeing the entire mail and courier activity within the building. This position requires strong communication skills, attention to detail, and the ability to work effectively in a team environment.
Key Responsibilities
- Manage incoming and outgoing mail and courier services.
- Coordinate mail handling across buildings and maintain effective communication with the team.
- Receive, direct, and relay mail-related correspondence, including telephone, fax, and email messages.
- Liaise with courier partners to ensure excellent service delivery and maintain a high level of customer satisfaction.
- Identify opportunities to improve mail processes and records, and implement changes as needed.
- Prepare and present data to the manager regarding mail room activity.
- Monitor and maintain mail consumables stock according to agreed-upon levels.
- Provide reception coverage and support as needed, and be familiar with basic receptionist responsibilities.
- Maintain regular communication with key business partners and stay up-to-date on their departmental mail requirements.
- Prepare for and attend regular meetings with the Office Services Coordinator and Facilities Manager.
- Be familiar with and adhere to Office Services internal procedures.
- Handle and update allocated daily Trouble Ticket requests, ensuring timely completion.
- Assist in training receptionist floats and support the wider JLL on-site team.
- Act as an ambassador for the Integrated Facilities Management program, representing the company in a professional manner.
- Ensure accurate and detailed handovers when absent from the business, and complete any outstanding tasks.
About You
To succeed in this role, you will need:
- Experience in a hospitality industry or strong customer service background.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office tools.
- Problem-solving skills and the ability to work independently.
- Good organizational skills and attention to detail.
- Strong customer focus and the ability to work effectively in a team environment.
- Fluency in English and local language.
