About the Role

">

We are currently seeking an experienced Assistant to support our humanitarian client's Management Board. The successful candidate will play a key role in managing the delegation's daily operations, ensuring smooth communication between internal and external stakeholders, and maintaining accurate records.

The ideal candidate will have at least 3 years of experience working in a similar field, a university degree in Information Management or a related field, and excellent language skills in both English (C1 level) and Polish.

The salary for this position is 13 annual salary, and the employment contract offers a one-year term with the possibility of further extension. The working hours are from 9 a.m. to 5 p.m., Monday to Friday, with the option to work remotely on occasion.

Key Responsibilities

  • Screens, prioritizes, dispatches, and follows up on written requests and calls received from internal and external interlocutors;">
  • Manages and updates the Delegation contacts list;">
  • Organizes appointments and meetings for the management team with internal and external stakeholders;">
  • Takes minutes of meetings and tracks agreed deadlines with stakeholders;">
  • Writes formal and informal correspondence in English and Polish for the validation of the management team;">
  • Shares and files documents for the management team, creating electronic and paper files as needed;">
  • Ensures that all electronic documents sent to the delegation's shared email box are shared with concerned staff members;">
  • Organizes and manages the use of collaborative information management tools and databases;">
  • Maintains the delegation's intranet page and contributes to implementing information management projects or programs;">
  • Briefs new staff on information management and organizes regular training or information sessions;">

Requirements

  • Minimum 3 or more years of experience as an Assistant in a similar field;">
  • University degree in Information Management or a related field;">
  • English minimum C1 level;">
  • Full professional fluency in Polish;">
  • Advanced computer skills, including Microsoft Office suite, SharePoint, and IBM Lotus Notes;">
