Job Description

The Administrative Assistant plays a crucial role in supporting various departments within the organization, handling a variety of administrative and office-related tasks. These responsibilities may involve fielding phone calls, receiving visitors, generating spreadsheets, data entry, and maintaining accurate records. To excel in this role, one must possess exceptional communication and organizational skills, with the ability to multitask and prioritize work effectively.

Main Responsibilities

  1. Answer and redirect phone calls in a professional and courteous manner.
  2. Generate and distribute correspondence, memos, letters, faxes, and forms as required.
  3. Support the preparation of regular reports and contribute to their accuracy.
  4. Respond to inquiries and provide information to colleagues and management.
  5. Manage multiple projects concurrently, prioritizing tasks and meeting deadlines.
  6. Perform administrative duties such as filing, typing, copying, binding, scanning, and other tasks as needed.
  7. Compose letters and emails on behalf of other office staff members.
  8. Maintain confidentiality when handling sensitive information.
  9. Address email, telephone, or face-to-face inquiries in a timely and professional manner.
  10. Resolve administrative issues and concerns that may arise.
  11. Efficiently receive, sort, and distribute mail and packages.
  12. Greet and assist visitors to the office, providing exceptional customer service.
  13. Communicate effectively with colleagues and management, responding professionally.
  14. Conduct data entry and ensure accurate record-keeping.
  15. Organize, store, and print company documents as necessary.
  16. Process sales tickets, complete customs paperwork, and handle shipping and receiving courier packages.
  17. Maintain an up-to-date filing system for employee, customer, external partner, and facility contact lists.
  18. Address queries from managers and employees in a timely and professional manner.
