GMS Job Description: We are seeking a highly organized and detail-oriented Office Assistant to support daily administrative operations and ensure seamless office management.

Key Responsibilities:

  1. Liaise with local institutions and suppliers to coordinate logistics and services.
  2. Coordinate document workflow, including contract signings, printing, scanning, copying, and binding.
  3. Manage correspondence dispatch domestically and internationally.
  4. Oversee office administration, including ordering supplies and managing access cards and parking permits.
  5. Collaborate with office space operators for issue reporting and cleaning arrangements.
  6. Organize business meetings and assist event managers with event logistics and supply coordination.

Travel & Document Management:

  • Support the travel team with document processing and transfers.

Requirements:

  • Final-year student or recent graduate with proficiency in MS Office and general office tools.
  • Fluency in English and Polish is required; knowledge of Ukrainian or Russian is an advantage.
  • Strong organizational skills and attention to detail.
  • Proactive, adaptable, and dedicated to task completion.
