Administrative Coordinator

We are seeking a highly skilled and detail-oriented Administrative Assistant to join our Executive Office Team at Allegro sp. z o.o. In this key role, you will provide comprehensive administrative support to our Executive Assistants, contributing to the efficient and seamless operation of daily tasks.
Key Responsibilities:- Act as the primary administrative support for the Executive Assistants and internal/external stakeholders, ensuring timely and accurate execution of tasks.
- Organize and manage complex domestic and international travel arrangements, prioritizing safety, convenience, and cost-effectiveness.
- Handle invoice payments and coordinate expense reports, maintaining accurate records and ensuring timely submission.
- Oversee the coordination of signature and documentation workflows across all entities, ensuring timely execution and minimal supervision.
- Manage office supply orders and inventory efficiently, minimizing waste and optimizing resources.
- Collaborate with the Executive Assistants and other stakeholders to provide administrative support for team initiatives and company-wide events, tracking progress and ensuring objectives and deadlines are met.
- Work closely with the Executive Office Manager and Executive Assistants to align priorities, maintaining an organized and efficient agenda.
- Take ownership of special projects or assignments delegated by the Executive Assistants, demonstrating initiative, accountability, and attention to detail.

- At least 2 years of experience in an administrative support role, preferably in an international environment.

- Highly independent in completing assigned tasks, with a proactive attitude and goal-oriented mindset.
- Excellent interpersonal and communication skills, with an appreciation for diverse personalities, perspectives, and culture.
