Office Coordinator

As an Office Coordinator at Novo Nordisk, you will play a vital role in ensuring the smooth operation of our Warsaw Hub office.
Key Responsibilities:- Coordinate office activities and operations to maintain efficiency and compliance with company policies.
- Work closely with the main reception and Polish Affiliate to ensure a seamless experience for visitors and employees.
- Manage office supplies inventory and place orders as necessary to maintain a well-stocked and organized workspace.
- Oversee general office maintenance and ensure a clean and organized environment.
- Serve as the main point of contact for office-related inquiries and requests.
- Organize and schedule meetings and appointments to ensure efficient use of time.
- Support with organizing company events, including team gatherings and other initiatives.
- Coordinate office-lunch organizations for special events and internal meetings.
- Support the P&O department with onboarding new employees and ensuring all HR documentation is in place.
- Track local relocation/mobility agency operations and ensure information exchange and vendor management.
- Manage and update company databases and documentation systems.
- Address employees' and visitors' queries regarding office management issues.
- Assist in the preparation of regular reports and presentations to ensure accurate and timely delivery.
- Proven experience as an Office Coordinator, Office Administrator, or similar role.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Proficiency in MS Office, particularly MS Excel and MS Outlook.
- Attention to detail and problem-solving skills.
- Ability to multitask and prioritize tasks effectively.
- Interest in developing skills in the HR area.
- Fluent spoken and written English.
